Status and definitions
These draft terms were prepared for review on 12 July 2026. They are not enabled for production self-service acceptance until the accountable owner and legal reviewer approve the contracting entity, company details, commercial terms, liability position, and notice process.
WhiteFieldHealth means the WhiteFieldHealth Ltd entity identified in the applicable order. Customer means the organisation or individual purchasing access. User means a person the Customer authorises. Service means the WhiteFieldHealth clinical-documentation software and associated support. Customer Content includes authorised audio, transcripts, drafts, notes, templates, configuration, and related metadata submitted through the Service.

WhiteFieldHealth supports transcription and documentation workflows. It does not provide medical advice or replace professional judgement.
The service may evolve, require maintenance, or depend on third parties. Any committed service levels or support terms are those stated in the applicable plan or agreement.
Acceptable use
Only submit information you are authorised to process and follow applicable law, professional duties, local policy, and consent or transparency requirements.
Do not misuse access, interfere with the service, attempt unauthorised extraction, introduce harmful content, violate rights, or use the service for unlawful purposes.
Use approved product workflows for authorised clinical data and do not send patient content, recordings, passwords, or secrets through ordinary support email.
Clinical responsibility
Generated text can contain errors, omissions, unsupported statements, or misplaced detail and must be treated as an unapproved draft.
A qualified user must verify identity, facts, medicines, measurements, assessment, risk, decisions, follow-up, and fitness for the intended record.
Do not rely on the service as an emergency system, diagnostic authority, treatment recommendation, or substitute for immediate clinical judgement.
Data and intellectual property
As between the parties, the customer retains its rights in content it submits and approved outputs, subject to third-party rights and the applicable agreement.
WhiteFieldHealth and its licensors retain rights in the platform, software, design, models, documentation, branding, and service technology.
Personal-data processing is governed by the privacy information and any applicable data-processing agreement, customer instructions, and law.
Subscriptions and ending use
Prices, billing intervals, taxes, usage limits, renewals, cancellation, and refund rights are those shown at purchase or stated in the applicable order and mandatory law.
Access may be limited for material breach, security risk, unlawful use, non-payment, or other grounds permitted by the applicable agreement and law.
Before ending use, export required content through available tools. Post-termination access, retention, return, and deletion follow the applicable agreement and legal obligations.
Risk and legal framework
Nothing excludes liability that cannot lawfully be excluded, including death or personal injury caused by negligence, fraud, or fraudulent misrepresentation. Subject to that rule, the draft aggregate cap is fees paid for the affected Service in the twelve months before the event, and neither party is liable for indirect or consequential loss except where mandatory law says otherwise.
The Customer remains responsible for authorised collection and use of Customer Content, clinician review, and compliance with its professional and organisational duties. Any indemnity must be limited to third-party claims caused by that party's breach, unlawful content or instructions, infringement, negligence, or wilful misconduct, with notice and control of the defence.
WhiteFieldHealth remains responsible for performing its contractual processing and security duties. Any supplier indemnity must address third-party intellectual-property claims and claims caused by WhiteFieldHealth's breach, negligence, or wilful misconduct, subject to agreed exclusions and defence control.
The parties should first escalate a dispute to accountable representatives and attempt good-faith resolution. These draft terms use the law of England and Wales and the exclusive jurisdiction of its courts, subject to mandatory consumer rights where applicable.
Routine support can use [email protected]. Formal notices must be sent to the addresses identified in the applicable order and are effective under the delivery and receipt rules stated there. A party must keep its notice details current.
The applicable order, approved service terms, data-processing agreement, and documents incorporated by reference form the agreement. Signed terms take priority in the order they state; changes, assignment, waiver, severability, and force-majeure rules require the approved final wording.
